Customers


    • PayHub Virtual Hub provides merchants the ability to save customer information! Things like billing/shipping addresses, email addresses, transaction history, and cards!
    • Access the Customers database via the Top Menu > Customers > All Customers.

Link Transactions with Customer Accounts


PayHub Virtual Hub uses email addresses as the primary key (unique identifier) for each customer account. When you run a transaction and include an email address in the 'Customer' section, PayHub Virtual Terminal will either:

  • link that transaction with an existing customer account associated with that email address

- or -

  • create a new account based on that email address and link the transaction to it.

PayHub Virtual Hub uses phone numbers as the secondary unique identifier for each customer account when an email is NOT present. If you only provide a phone number, the PayHub Virtual Hub will associate the transaction with an existing customer account using that phone number, or create a new account using that phone number and associate the transaction with it. In a transaction where an email address and a phone number are present, the transaction will be associated with an existing account based on the email. (NOTE: In a transaction where only a phone number is present, the transaction will be associated with and account based on that phone number. If a customer account exists for that customer, but it only has an email, because the transaction did not include the email, a duplicate customer account will be created. This is because there was no match for the phone number provided on the transaction in any of the customer accounts.  Conversely, the same is true for a transaction that only includes an email, in which a customer account exists for the customer, but it only contains a phone number. As a result, we recommend always doing a search for the customer first, and doing transactions from the customer screen when the account already exists - only doing it from the "Process a Card" button if you are certain they are a new customers.)

Add Customer via "Process a Card"


Link a transaction with an existing customer account or create a new customer account to link it with by simply including an email address and/or phone number in the 'Customer' section.

    • Enter the required transaction information. As shown in Transactions on the Virtual Hub.
    • In the 'Customer' section enter:
      • 'Name' First and Last
      • 'Phone*' , 'ext.' and 'Mobile/Home/Work' designation.)
      • 'Email*'
      • 'Company'
      • 'Job Title'
      • 'Web'

    • Include Billing Address and Shipping Addresses as needed.:
      • 'Billing Address' - Required if Address Verification System (AVS) is selected in the admin settings ( Admin > (Risk/Fraud) Settings ) and you are running a manual entry transaction.
      • 'Shipping Address' - You can select 'Same As Billing' via the drop-down box, or enter a new address.

Link a transaction with an existing customer account or create a new customer account to link it with by simply including an email address and/or phone number in the 'Customer' section.

    • Enter the required transaction information. As shown in Recurring Billing.
    • In the 'Customer' section enter:
      • 'Name' First and Last
      • 'Phone'* , 'ext.' and 'Mobile/Home/Work' designation.)

      • 'Job Title'

Add a Customer via "Add Customer"


You can create a customer ahead of running a transaction through the Add Customer screen.

    • From the menu, mouse over 'Customers' and choose 'Add Customer'.

Begin a Transaction from within the "Customer" Page


Here you can begin a one-time transaction with a new card, or use a card that is already on file to either run a one-time transaction or setup a recurring bill. (Note: We do not currently provide a feature by which to store a new card for future use without charging it. This can, however, be done by creating a recurring bill for some date in the future. The recurring bill can be deleted before it charges or rescheduled (depending on how the recurring bill was set up). This must be done from the Add Recurring Bill button on the 'Home page' or theAdd Recurring Bill Account link from the transactions drop-down. Once on file, this card may be used to run one-time transactions or to set up recurring bills for the customer. This can be done from their customer account page following the instructions found here. You may begin a transaction from within the 'Customer' page:

    • Select the 'Process New Card' link in the 'Cards section.

  • Confirm that the customer information is pre-populated in the 'Customer' section.

  • Enter the required transaction information. As shown in Transactions on the Virtual Hub.

Search for a Customer


  • Use the PayHub Virtual Hub global search field.
    • Search from the search field in the upper right corner (left of the menu).

    • Select the 'Customers' tab in the Results Page.
    • Select the 'Customer ID' for the customer you are looking for.

  • Access your list of Customers from the menu:
    • Hover over 'Customer' to expand.
    • Select 'All Customers'.

    • Browse for the customer on the portion of the list displayed on the current page.
    • Select the 'Customer ID' for the customer you are looking for.

      • You may extend the number of items listed on the current page or browse the rest of the list by going to another of its pages by using the navigation icons at the bottom of the list.

Edit Existing Customer


You CAN edit information from within the 'Customer' page. IMPORTANT: Remember to click on 'Save Changes' !!

 

Delete Existing Customer


You canNOT delete customer accounts. This is because more often than not they include an associated transaction.

Workarounds: If you are simply trying to remove them from view on the "All Customers" screen, we recommend adding a 'zzz' in front of the last name as the list sorts by last name.

If you want to ensure that their recurring bill no longer charges, please refer to recurring billing article on when to 'Stop' and when to 'Pause' a recurring bill.

If you want to remove their card from their customer account page, simply select the 'delete' link to the right of the corresponding card on file.

NOTE: We recommend using the "Search" feature on the right of the menu bar in the VirtualHub for quick and filtered results.
